In the mybox-hosted webmail interface (Roundcube), an Identity represents the persona you use when sending emails. While your primary email address is your main identity, you can create multiple versions of yourself to manage different business roles, use different display names, or set up unique professional signatures.
Managing identities is a mechanical necessity for anyone who needs to send mail from an alias or wants to switch between a formal and informal tone without changing accounts.

Why Use Multiple Identities?
- Display Names: You might want one identity to show as “John Doe” and another as “J. Doe | Sales Manager.”
- Email Aliases: If you have an alias (e.g.,
[email protected]pointing to[email protected]), you can create an identity for the info address so you can reply to customers as “Info.” - Specific Signatures: You can link different HTML signatures to each identity-one for internal team emails and one for external client proposals.
- BCC Automation: You can set an identity to automatically blind-copy another address (like a CRM or archive) every time you send a message.
How to Add or Edit an Identity
- Log in to your webmail at mail.mybox.com.
- Click on the Settings (gear icon) in the main menu.
- Navigate to the Identities section in the left-hand column.
- To edit an existing one, click on the email address in the middle column. To add a new one, click the (+) Create button at the top.
Configuration Fields Explained
When creating an identity for your mybox-hosted email, you will see the following fields:
| Field | Purpose |
| Display Name | The name the recipient sees in their inbox (e.g., “Support Team”). |
| The address that will appear in the “From” field. | |
| Organization | (Optional) Your company name. |
| Reply-To | If you want replies to go to a different address than the one you sent from. |
| Bcc | Automatically sends a secret copy of every email to this address. |
| Set Default | Check this if you want this identity to be your primary choice for new emails. |
Setting Up Your Signature
Within the Identity settings, you will find the Signature text area.
- Plain Text: Simple, non-formatted text.
- HTML Signatures: Click the image icon (or check the “HTML signature” box) to unlock formatting tools. This allows you to add bold text, links, and images (like your company logo).
- Image Tip: For logos to display reliably, it is best to host the image on your mybox-hosted server and link to it via a URL rather than uploading it as an attachment.
Using Your Identities
Once configured, using them is simple:
- Click Compose to start a new email.
- In the From field, a dropdown menu will appear.
- Select the identity you wish to use. The signature and “From” name will update instantly.
Summary
Identities in Roundcube give you the flexibility to manage your professional image directly from your mybox-hosted webmail. Whether you are managing aliases or simply keeping your work and personal signatures separate, this feature ensures that every email you send looks polished and intentional.
