Separate incoming and outgoing failures

Receiving and sending are different operations. Compare the incoming server name, port, and security values shown by each client. Do not replace values by guesswork. The comparison is most useful when the original values are preserved.

When sending fails

Record the full sending error and whether receiving still works. Record the current values before making one controlled change. Test sending again and record the new result.

6. Record whether the same operation succeeds or fails. A different result can indicate a network restriction rather than a changed mailbox setting.

Keep the test controlled: use the same client, the same account, and the same operation. Change only the network. This makes the result easier to compare with the original test.

7. Decide when to escalate

Escalate to an administrator or hosting provider when the evidence points beyond one client or when the failure continues after controlled comparisons.

Provide the full error message and code, not a shortened description.

Include the time of each failed test.

State whether receiving, sending, or both failed.

Include the webmail result and the second-client result.

List the current incoming and outgoing settings as displayed, including server names and ports.

State whether changing the network changed the result.

Contact the hosting provider when webmail and more than one client show the same failure, when the same service fails across networks, or when the error indicates a mail service or provider-side problem. Contact an administrator when the issue affects account access or requires a controlled change to shared mail settings.
